Overview:
The HR Administrative Lead plays a pivotal role in managing various administrative tasks and ensuring smooth operations within the HR department. Responsible for overseeing employee experiences, calendar management, training coordination, recruitment processes, benefits administration, vendor management, facilities management, and more. The incumbent will also assist in payroll management, compliance activities, and additional duties as assigned.
Key Responsibilities:
- Employee Experiences:
- Manage monthly birthdays and anniversaries celebrations.
- Facilitate employee recognition programs and Kudos initiatives.
- Coordinate Monday Memos and staff meetings.
- Oversee holiday decorations and festivities.
- Calendar and Meeting Management:
- Manage employee and doctor calendars efficiently.
- Schedule CPR training sessions and HR classroom training.
- Coordinate quarterly check-ins and employee reviews.
- Recruitment and Onboarding:
- Lead the applicant search process and schedule interviews.
- Handle the onboarding process and new hire checklist.
- Conduct offboarding procedures and exit checklist.
- HR Administration:
- Manage employee counseling and notices in BambooHR.
- Analyze and distribute benefits packages, including 401k management.
- Conduct annual benefits surveys and analysis.
- Administrative Tasks:
- Maintain email, telephone extension, and voicemail lists.
- Manage vendor, hospital contact, insurance, and credentialing lists.
- Organize calendar for managers and travel preferences for doctors.
- Facilities and Operations Management:
- Visit Tinley Park office monthly and manage facilities.
- Audit petty cash, manage supplies, and oversee pest control.
- Schedule water filter changes and refrigerator cleanings.
- Compliance and Security:
- Assist with OSHA, fire safety, and security management.
- Handle license renewals and actions audit in ECW.
- Financial Management:
- Set up autopayments for accounts payable and manage monthly payments.
- Conduct accounts payable reporting in QuickBooks.
- Additional Duties:
- Oversee social media management and patient review initiatives.
- Coordinate staff contests and manage Google business page reviews.
Qualifications and Experience:
- Bachelors degree in human resources, Business Administration, or related field preferred.
- Minimum of 3 years of experience in HR administration or related roles.
- Proficient in HRIS systems, payroll software, and Microsoft Office Suite.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Knowledge of employment laws, regulations, and compliance requirements.Top of Form
