Program Operations Data Analyst - Automation & Vendor Coordination
Location: Remote – Chicago-Based Preferred, Occasional Travel Required (up to 3 trips during the 9-month engagement)
Duration: 9-Month Contract with Potential for Full-Time Conversion

We are seeking a Program Operations Data Analyst – Automation & Vendor Coordination to support a highly visible, enterprise-wide refrigeration temperature monitoring and automation initiative being deployed across approximately 7,530 retail locations. The program is transforming a traditionally manual refrigeration temperature-checking and logging process through sensor technology, automated data collection, temperature alerts, and work-order automation. The goal is to improve visibility into refrigeration equipment performance, identify temperature or equipment issues earlier, reduce product loss, support compliance requirements, strengthen preventive and corrective maintenance processes, and generate meaningful operational efficiencies and cost savings.In this role, you will focus on validating the alerts, automated workflows, operational data, system outputs, vendor activity, and installation closeout processes associated with the new monitoring program. When sensor data indicates that temperatures are outside established ranges, you will help confirm that the expected alerts and automated actions are functioning correctly. When something does not appear to be working as intended, you will investigate the issue, gather supporting information, and coordinate with vendors, installers, facilities teams, and business stakeholders through resolution.The ideal candidate will bring approximately 2–3 years of relevant experience in data analysis, business operations, implementation support, systems integration, workflow automation, vendor coordination, or a related area. Experience supporting facilities, work-order management, retail, refrigeration, or other multi-site operational environments would be especially valuable.

What You Will Be Accountable For
- Support the implementation and operational validation of a large-scale refrigeration temperature monitoring and automation program across approximately 7,530 retail locations.
- Review and validate temperature-monitoring alerts, notifications, and automated workflows generated by the new system.
- Confirm that alerts are triggered appropriately when temperatures fall outside established operational ranges.
- Validate that automated processes and downstream work-order activities behave as expected based on sensor data.
- Review operational data and system outputs to identify inconsistencies, anomalies, missing information, or unexpected results.
- Investigate situations where sensor data, alerts, workflows, or automation do not appear to be functioning correctly.
- Help determine whether an issue is related to data, sensor installation, configuration, system integration, automation, or another operational factor.
- Gather the information necessary to support effective issue investigation and troubleshooting.
- Coordinate issue resolution with external vendors, installers, refrigeration engineers, facilities teams, project stakeholders, and other business partners.
- Track issues from initial identification through investigation, corrective action, validation, and final closure.
- Follow up with vendors and implementation partners to ensure outstanding issues are addressed within required timelines.
- Support implementation and installation activities across the retail network.
- Provide or coordinate facility floor plans, documentation, and other information required to support successful installations.
- Manage or support the installation closeout process, including review of installer-submitted data and documentation.
- Validate that installation closeout information is complete, accurate, and aligned with program standards.
- Confirm implementation requirements and outstanding issues have been successfully resolved before business acceptance and operational handoff.
- Help ensure successful transition from project implementation into ongoing facilities operations.
- Support the connection between the vendor monitoring platform and downstream facilities/work-order management processes.
- Develop, maintain, or support reports used to monitor program performance, implementation status, operational issues, and key activities.
- Identify recurring operational issues, process gaps, or opportunities to improve implementation effectiveness.
- Collaborate across project management, facilities, refrigeration engineering, vendors, installers, store stakeholders, and other cross-functional teams.
- Maintain a strong focus on both rollout timelines and implementation quality throughout the nine-month deployment.
What Qualifications You Need
- Approximately 2–3 years of relevant experience in data analysis, operational analytics, business operations, program/project support, implementation, systems integration, vendor coordination, or a related area.
- Bachelor's degree preferred; equivalent relevant professional experience may be considered in lieu of a degree.
- Experience reviewing operational or system data to identify issues, exceptions, inconsistencies, or trends.
- Experience validating system outputs, automated workflows, alerts, or business processes against defined requirements.
- Understanding of how data moves between systems and how automated workflows or system integrations are expected to function.
- Ability to investigate operational or system-related issues and determine the appropriate next steps for resolution.
- Experience coordinating issue resolution across vendors, business stakeholders, field teams, or technical partners.
- Strong follow-through with the ability to track issues from identification through closure.
- Strong analytical and problem-solving skills with the ability to work through ambiguous or incomplete information.
- Strong organizational skills and the ability to manage multiple issues, stakeholders, and deadlines simultaneously.
- Effective written and verbal communication skills for working across business, technical, facilities, and vendor teams.
- Ability to balance analytical responsibilities with hands-on program coordination and operational support.
- Ability to work independently in a remote environment while remaining highly engaged with a cross-functional project team.
- Must be available to work primarily during 8:00 AM–5:00 PM CST business hours, with some flexibility to start approximately one hour earlier or later.
- Ability and willingness to travel to Deerfield, IL up to approximately three times during the nine-month engagement.
Preferred Qualifications
- Experience with system integrations, workflow automation, alerts, notifications, or automated business processes.
- Exposure to ServiceChannel or a comparable facilities/work-order management platform.
- Experience with CMMS or facilities management systems.
- Experience with field data collection tools such as LINK or similar platforms.
- Experience working with vendor-managed platforms or external technology providers.
- Strong Microsoft Excel skills, including data review, filtering, reconciliation, and issue analysis.
- Experience with Azure DevOps (ADO) for project, issue, defect, or implementation tracking is beneficial.
- Experience supporting installation closeout, operational handoff, or implementation validation.
- Experience with retail facilities, store operations, refrigeration, HVAC, or other equipment-intensive environments.
- Experience supporting multi-site or enterprise-wide implementations.
- Exposure to IoT devices, sensor-based monitoring, or automated equipment monitoring is beneficial but not required.
- Experience coordinating with installers, vendors, facilities teams, or field operations personnel.
