Position Summary
The Mother Teresa Catholic Academy Office Manager/Administrative Assistant will work closely with the Principal, Pastor, President and Business Manager. This person will also have frequent daily interaction with teachers, school parents, and students. This person must work with all of those mentioned to accomplish the successful daily and long-term running of the school.
OFFICE RESPONSIBILITIES
General Office Duties
- Answer phones
- Answer general parent/guardian messages
- Email or text parents with notifications or school events
- Respond to emails
- Add events to all calendars
- Update security codes for alarm when needed
- Collect and pass out school keys if needed
- Coordinate IDPH water sampling and courier pickups
- Sort mail deliver to teachers' classrooms or add to mailboxes
- Stop mail on school breaks; pick up held mail
- Order milk and create an updated milk schedule for each month
- Keep track of monthly milk payments
- Remind parents to send in payments
- Keep track of supplies needed and place Amazon orders
- Share updated tuition and fees information with parents
- Do attendance if someone else is not available to do it
- Make calls to the parents of absent students
- Calendar
- Assisting the principal in creating the yearly school calendar
- Posting and updating the calendars
- Parish Liaison
- Working with the Parish Office, Faith Formation, and Communications staff
- Create Marketing Flyers
- Print/Create programs for school events
- Contact person for School Eatery lunch service.
We do not have a nurse Office Manager/Administrative Assistant will:
- Assess student's injury(s) or medical complaint(s) (usually band aids or ice packs)
- Contact parents if necessary
- Add medical event information to FACTS student profile
- Dispense medications if necessary
- We have students with asthma, allergies, and have had diabetic students in the past. Make sure teachers and staff members are aware of student allergy list. Send injury reports to the Catholic Mutual if necessary.
Volunteer Hour Commitments Office Manager/Administrative Assistant will:
- Track volunteer hours and share unmet hours with the business manager so this can be added to the FACTS tuition account
- Yearly update of the volunteer hour explanation letter and tracking forms.
New student inquiries and tours Office Manager/Administrative Assistant will:
- Schedule tours of the school with prospective families.
FACTS Office Manager/Administrative Assistant will:
- Send out FACTS emails regarding reenrollment
- Import new and existing students in FACTS
- Answer parent questions regarding FACTS
- Update enrollment packet information on FACTS to open enrollment for the next school year.
Student files - Office Manager/Administrative Assistant will:
- Check for required documents, sending notices for missing documents
- Send requested records to schools
- Request student records for new students
- Scan and add former student files to external drive.
Other School Related Tasks
- Work Before School Care one day a week or more if needed
- Fill in for After School Care if needed
- Attend monthly PTO meetings
- Help PTO and other parent run committees to get information out to families and request volunteers for their events
- Attend monthly School Board meetings and help with Marketing as needed.
Qualifications
- Support the mission, philosophy, objectives and policies of the Church and the Diocese of Joliet
- High school diploma required, associated degree or higher preferred
- Minimum 2-5 years' experience in office management and/or administrative assistant
- Excellent verbal and written communication skills, collaboration, and organizational skills are necessary; must work well with others
- Ability to organize, prioritize, and have focus/attention to detail are extremely important
- Knowledge of Google Docs and Microsoft Office products is required
- Experience with the FACTS school application would be beneficial
- Bilingual English/Spanish is a plus.
Salary & Benefits
$21.00 per hour with paid personal leave days.
