Business and Financial Analyst - Office of Student Financial Aid

The Office of Student Financial Aid (OSFA) is seeking a detail-oriented and strategic professional to join our team as a Business and Financial Analyst. Reporting to the Assistant Director, this position plays a critical role in overseeing and analyzing the financial operations of OSFA. OSFA administers over $1 billion in federal, state, and institutional aid annually. Serving more than 56,000 students, OSFA is committed to ensuring equitable access to financial resources and this role supports that mission.

Duties & Responsibilities -

  • Financial oversight of 400+ Office of Student Financial Aid operational and scholarship, grant, and loan accounts including state, federal, gift/endowment funds, and non- university funds. This includes: formulating budget projections, managing the availability of funds and expenditure levels, creating reports, initiating budget transfers, and ensuring all FY opening/closing processes are completed in accordance with University policies. Some accounts must be fully expended in the current award year and other funds are used to make multi-year awards. This position must exercise independent judgment in determining the number and amount of awards that should be made each academic year as well as the amount of funds that must be held in reserve for multi-year awards. Use historical campus data including yield and retention information to make these determinations.
  • Responsible for devising the strategies that will be used to complete a comprehensive review of all fund agreements for compliance with donor intent and accumulation/deficit status. All Fund balances are reviewed on a yearly basis and fund agreements are reviewed on a 5-year schedule (20% should be reviewed each year). This review includes interpreting the language in the fund agreements to ensure donor intent is met and making recommendations and providing guidance as to the awarding criteria that should be used in selecting scholarship recipients.
  • Prepare federal, state, institutional and internal reports for internal and external stakeholders. Manage the review and reconciliation of OSFA operating accounts and procurement card transactions. Manage the disbursement and reconciliation of all federal, state, institutional and non-university financial aid accounts. Develop and maintain a comprehensive system for tracking, maintaining and processing all relevant financial data. Optimize the layout and design of reports for better clarity and impact. This includes preparing billable aid accounts, quarterly accounts receivable aging reports and management of EFT deposits and proper CFOP use. Responsible for the billing and reconciliation of external scholarship accounts. Examples are Stamps Family Foundation, Evan Scholars, Hope Chicago, etc.
  • Serve as liaison with university offices and other related financial agencies. This includes but is not limited to the University of Illinois Foundation, Sponsored Programs, University Bursar, Office of Business and Financial Services, the Illinois Student Assistance Commission, and the Department of Education. In collaboration with the Associate Director determine and create annual cost of attendance tables and ISAC budgets. Manage MAP advising data collection process. In collaboration with OSFA leadership and the Office of the Provost, implement and maintain Gainful Employment requirements and reports. In collaboration with OSFA Systems staff oversee and ensure compliance with the fixed asset inventory of office equipment following university policy and procedures. Other duties as assigned.

Required Qualifications -

  • Bachelor's degree in business administration, management, or a field related to the position.
  • Two (2) years of professional business, financial, and/or managerial work experience.
  • Demonstrated experience in financial reporting and/or business operations.
  • Demonstrated experience analyzing data, creating reports and/or presentations.

Preferred Qualifications -

  • Master's degree.

Knowledge, Skills and Abilities -

  • Understanding of good business practices.
  • Good written and verbal communication skills.
  • Strong organizational skills and the ability to multi-task.
  • Working knowledge of University business systems including Banner, P-card, T-card.
  • Understanding of State and University policies.

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position. The expected start date is as soon as possible after the close of the search. The budgeted salary for this position is $60,000 - $63,000/year. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.

Employees hired into this position are expected to work on-site at the University of Illinois Urbana-Champaign campus on a full-time basis with the possibility of hybrid work options. Sponsorship for work authorization is not available for this position.
