Job Summary
We are seeking a detail-oriented and professional individual to join our client’s team as a Clerical Assistant. In this role, you will be responsible for scanning, organizing, and indexing personnel files into digital records, ensuring accuracy, completeness, and confidentiality while meeting HR standards and project deadlines.
Job Description
- Prepare, organize, and scan physical personnel files into digital format in accordance with HR and record-retention standards
- Index and label documents accurately, ensuring correct employee identification and file naming conventions
- Organize scanned documents and within the correct personnel file sections (e.g., onboarding, job changes, discipline, benefits, licensure)
- Conduct quality assurance checks to confirm all pages are legible, complete, correctly oriented, and properly indexed
- Identify and correct misfiled, duplicate, or out-of-order documents prior to and after scanning
- Always maintain confidentiality and data integrity when handling sensitive employee records
- Work efficiently while maintaining a high level of accuracy and attention to detail to meet project timelines
Skills Required
- Demonstrated experience with document scanning, digital records management, or file imaging projects
- Strong attention to detail with the ability to maintain accuracy across high-volume work
- Ability to follow standardized file structures and indexing protocols
- Comfortable working independently and managing repetitive tasks with consistency
- Proven ability to work diligently and quickly without sacrificing accuracy
- Familiarity with HR personnel files or regulated record environments strongly preferred
- Basic proficiency with scanning equipment and document management systems

Pay Rate
- $22-$26 per hour, based on experience, skills and market factors
