Compensation: $22.00 – $29.00 per hour (based on experience and qualifications, in compliance with Illinois wage transparency requirements)

Teamwork Englewood is a nonprofit organization based in Chicago, dedicated to empowering residents of Englewood and surrounding neighborhoods through a variety of community-driven initiatives. The organization offers planning and services for youth development and parent programming, workforce development assistance, and aid with re-entry from incarceration. Teamwork Englewood’s mission is to improve the quality of life of the residents and stakeholders of Englewood by facilitating economic, educational and social opportunities.

Position Summary/Objective:

The Grants and Contracts Finance Coordinator provides administrative, financial, and compliance support for private, foundation, corporate, and government grants and contracts. Under the direction of the Director of Finance & Administration and in collaboration with program staff, this role supports accurate budgeting, expense tracking, documentation, and reporting to ensure compliance with funder requirements, Generally Accepted Accounting Principles (GAAP), and applicable regulations. The Coordinator supports the organization’s grant and contract management processes by maintaining organized records, tracking financial activity, and assisting with reporting and audit preparation.

Key Responsibilities:

  • Assist with the preparation, monitoring, and reconciliation of grant and contract budgets and budget amendments.
  • Track grant and contract expenditures to ensure alignment with approved budgets and funding periods.
  • Assist with monitoring personnel cost allocations and maintaining time and effort documentation in accordance with funder requirements.
  • Support program and finance staff by providing budget-to-actual reports and identifying variances for review.
  • Maintain grant and contract financial documentation, including budgets, amendments, correspondence, and reporting schedules.
  • Assist with preparing and submitting monthly vouchers and funder-required financial reports for review and approval.
  • Support contract close-out activities, including final reconciliations and documentation retention.
  • Coordinate the collection of information needed for contract extensions or renewals.
  • Support communication with funders by preparing documentation and financial information as requested.
  • Assist with maintaining organized and audit-ready grant and contract financial records.
  • Support preparation for funder monitoring visits, audits, and internal reviews by gathering required documentation.
  • Track reporting deadlines and compliance requirements for grants and contracts.
  • Assist with updating internal procedures and checklists related to grant and contract financial compliance.
  • Stay informed of basic funder and regulatory requirements and escalate issues to finance leadership.
  • Support the recording and reconciliation of grant-related transactions in the general ledger, bank accounts, and grant-specific accounts.
  • Assist with processing accounts payable, accounts receivable, and expense reimbursements in alignment with grant and contract budgets.
  • Support payroll allocation tracking to grants and contracts, ensuring proper coding and documentation.
  • Assist with monthly and year-end closing activities related to grants and contracts.
  • Help maintain grant-related chart of accounts and coding structures.
  • Support improvements to financial systems, templates, and tracking tools related to grants and contracts.
  • Collaborate with program staff to collect financial and programmatic information needed for grant reporting.
  • Provide administrative support related to grant and contract management processes.
  • Participate in cross-functional meetings related to grants, contracts, and financial reporting.
  • Assist with training staff on basic grant financial processes and documentation requirements.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, Public Administration, or a related field; or equivalent combination of education and relevant professional experience; or an equivalent combination of education and relevant professional experience.
  • Minimum of 1-3 experience in nonprofit finance, grants administration, bookkeeping, or related administrative roles.
  • Familiarity with government and foundation grants and basic compliance requirements preferred.
  • Experience using accounting software (e.g., QuickBooks) and proficiency with Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks, deadlines, and priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with finance staff, program teams, and external partners.
  • Must be legally authorized to work in the United States.
  • Successful completion of a background check, including criminal record and reference checks.

  • Primarily an office-based position with a standard workweek, though occasional evening or weekend hours may be required to support deadlines, site visits, or special events.
  • Regular interaction with program staff, finance team members, leadership, vendors, contractors, and external funders.
  • Ability to communicate effectively verbally and in writing and participate in in-person and virtual meetings.
  • Remote or hybrid work may be considered on a limited or as-needed basis subject to organizational policy and operational needs.
  • Regularly sits, stands, walks, and uses hands and arms to operate office equipment and computers.
  • Occasionally lifts or moves items up to 25–30 pounds (such as files, office supplies, or equipment).
  • Must have the ability to visually review financial data, documents, and computer screens for extended periods.
  • A valid driver’s license and reliable transportation may be required for occasional travel to funder meetings, site visits, or community-based locations.
