New Journey Physical Therapy is seeking a detail-oriented and proactive Patient Care Coordinator to join our dynamic team. In this role, you will provide essential support to ensure the smooth operation of our office. The ideal candidate will possess strong organizational skills, excellent communication abilities, experience with social media posts, efficient completion of tasks, and a commitment to delivering exceptional customer service. Your responsibilities will include managing front desk operations, handling in coming calls, scheduling appointments for new and current clients, managing the flow of the clinic, marketing including dropping of flyers, completing mailings, printing materials, and assisting with various administrative tasks.

Duties

  • Serve as the first point of contact for visitors and clients at the front desk, ensuring a welcoming environment.
  • Manage phone system, demonstrating excellent phone etiquette while empathizing with clients and explaining our services.
  • Perform data entry tasks accurately and efficiently, maintaining organized records and filing systems.
  • Utilize Google Workspace for document creation, organization, and communication.
  • Scheduling clients and coordinating appointments for team members in Jane.
  • Provide customer support by addressing inquiries and resolving issues in a timely manner.
  • Conduct proofreading of documents to ensure accuracy and professionalism in all communications.
  • Support bookkeeping tasks as needed, including basic accounting functions using Google Sheets and QuickBooks.
  • Maintain supplies inventory and assist with office management duties to ensure operational efficiency.
  • Light cleaning and tidying of clinic
  • Ensuring client flow by welcoming clients and coordinating with clinicians.
  • Collaborate with team members on various projects while demonstrating strong time management skills.

Skills and Experience

  • Previous administrative experience is required; experience in a dental or medical receptionist role is a plus.
  • Proficiency in Google Workspace including google sheets is essential.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
  • Willingness to learn and follow instructions to ensure success.
  • Excellent typing skills with a focus on accuracy in data entry and documentation.
